Rules
Rules let Mimir automatically take actions on specific emails, so you don’t have to manually handle them every time.
Examples of rules you can create:
“All emails from order@company.com should be auto-closed”
“Emails to b2b@company.com with the word ‘partnership’ in the subject should be auto-assigned to Peter”
“All emails with the word ‘return’ should have the tag return”
You can create and edit your rules under https://app.cognitionhub.no/settings/rules
⸻
How Rules Work
Each rule consists of two parts: conditions and actions.
-
Conditions define which emails the rule applies to. For example, emails from a specific sender, with certain keywords in the subject, or sent to a particular address.

-
Actions define what Mimir should do when a condition is met. For example, auto-assigning the email to a teammate, tagging it, or closing it automatically.

A single email can match multiple rules, so more than one action can be triggered at the same time.
⸻
Creating a New Rule
Since a rule is just a set of conditions and actions, you start by clicking Add Rule.
Set the condition(s) – choose from “Subject”, “Content”, “From Email”, or “To Email”. You can combine multiple conditions if needed.
Set the action(s) – choose what Mimir should do when the condition is met.
Save the rule – once saved, Mimir will automatically apply the rule to matching emails after the rule was created.
⸻
Think about your workflow and which emails you handle most frequently. Setting up rules can save time, reduce repetitive tasks, and make sure emails are always routed correctly.
